Inbound Meeting Routing
When a meeting form lands, this workflow enriches the lead, checks CRM for dupes, qualifies company and contact fit, creates records if needed, and routes to the right rep.

The outcome
Every inbound meeting request gets qualified, deduplicated, and assigned to the correct owner before the rep even sees it.

Build it, step by step
Build it, step by step.
01
Capture form submissions via webhook
Tally sends every meeting request submission into Clay the moment it arrives. Name, email, company name, and domain flow in as structured fields.
- Configure Tally webhook to POST to Clay table on form submit
- Map full name, email, company name, company domain into Clay columns
- Each row represents one inbound meeting request
02
Enrich missing contact and firmographic data
Clay fills gaps in the submission. Missing domain, LinkedIn URL, job title, or company metadata gets pulled from enrichment providers.
- Run Clay waterfall enrichment to resolve company domain if not provided
- Pull LinkedIn profile URL and job title for the contact
- Append firmographic fields like headcount, industry, and tech stack
03
Look up company and contact in HubSpot
Check whether this company or contact already exists in the CRM. The result determines the next branch.
- Search HubSpot companies by domain
- Search HubSpot contacts by email
- Return company record ID, contact record ID, and account owner if present
04
Qualify persona for known companies
If the company exists, validate whether the contact fits the buyer persona. Job title, department, and seniority determine qualification.
- Run Clay AI prompt to score persona match against ICP criteria
- Evaluate job title, department, and seniority level
- Output qualified or disqualified flag
05
Qualify company for new accounts
If the company is new to the CRM, run ICP qualification before creating anything. Industry, size, stack, and market alignment all matter.
- Run Clay AI qualification prompt with firmographic inputs
- Score on industry, company size, technology stack, and target market
- Only qualified companies proceed to record creation
06
Create company and contact records
For qualified new companies, create the company record in HubSpot first, then attach the contact. Enriched fields populate both.
- Push enriched company data to HubSpot to create new company record
- Create contact record and associate it with the new company
- Write firmographic and contact metadata into CRM properties
07
Assign or notify account owner
If an owner is already assigned, notify them via Slack. If not, assign based on routing rules and ping the new owner.
- Check HubSpot company record for existing account owner
- If owner exists, send Slack DM with lead details and meeting link
- If no owner, run assignment logic and update HubSpot owner field
- Notify newly assigned rep via Slack
08
Trigger multi-channel follow-up
Once ownership is set, launch email and LinkedIn sequences to nurture the lead in parallel with human outreach.
- Add contact to Instantly email sequence for meeting confirmation and follow-up
- Enroll contact in HeyReach LinkedIn automation for connection and engagement
- Both channels run alongside rep outreach
