Duplicate the Notion template
Copy the template into your workspace so you have a clean instance to customize.
- Open the shared template link
- Click Duplicate in the top right
- Select the destination workspace
- The template includes setup pages, a content database, and two views (calendar and kanban)

Define content strategy
Lock in your positioning, ICP, and four content pillars before you write a word.
- Navigate to Setup Resources → Content Strategy
- Fill in value proposition and ideal customer profile
- Choose four content pillars that map to your buyer's problems
- Document your point of view and tone of voice
- This becomes the filter for every post idea

Optimize your LinkedIn profile
Align banner, headline, and About section with the strategy you just wrote.
- Use the LinkedIn Profile Optimization checklist
- Update banner, headline, custom URL, and About copy
- Add relevant links to the Featured section
- Configure the custom CTA button with a lead magnet or calendar link
- Apply recommended privacy and visibility settings

Build a brandbook and design library
Store colors, fonts, and reusable components so every visual feels consistent.
- Open the Brandbook & Figma page
- Document brand hex codes and typography
- Upload or link to Figma templates for carousels and images
- Tag design components by content pillar or format
- Designers and writers can reference this page for every post

Centralize public links
Keep one source of truth for every URL you reference in posts or your profile.
- Navigate to Public Links
- Add URLs for website, lead magnets, booking calendars, and case studies
- Label each link with its purpose and destination
- Use this list when drafting posts that require a call to action

Create post ideas in the kanban
Spin up new post records and tag them with pillar, funnel stage, format, and publish date.
- Open the Content Pipeline kanban view
- Click + under the Idea column
- Fill in publish date, content pillar, funnel stage (TOF/MOF/BOF), and visual format
- Assign to a writer or designer
- Move cards from Idea → Draft → In Progress → Needs Editing → For Approval → Approved → Live

Draft and edit posts
Use AI to generate first drafts, then refine copy inside the Notion page.
- Open a post record from the kanban
- Paste the pillar and angle into Claude or ChatGPT to generate a draft
- Copy the output into the post body field
- Edit for tone, clarity, and hook strength
- Use the embedded LinkedIn previewer to check formatting
- Move the card to Needs Editing and tag a reviewer if needed

Attach visuals and finalize design
Link to Figma files or upload images, then mark design stage complete.
- Open the Design stage property
- Set design due date
- Reference the Brandbook for templates
- Upload final image or carousel to the post record
- Mark design stage as Done and move the card to For Approval

Review calendar and approve posts
Switch to calendar view to confirm publish dates, then approve finalized posts.
- Open the Content Calendar view
- Check that publish dates are spaced and aligned with campaigns
- Click into any post to review copy and visuals
- Move approved posts to the Approved column
- On publish day, copy the post text and image to LinkedIn, then mark Live

Use the 90-day idea bank for backfill
Pull from a pre-loaded list of content angles when you need to fill gaps in the calendar.
- Open the 90-Day Content Plan view
- Browse ideas by pillar and format
- Copy an angle that fits an upcoming slot
- Create a new post record and paste the idea
- Tag it with the right publish date and move it into Draft
