    Build it, step by step.

    1. 01

      Write the opener

      State why you are writing to this person. Anchor the first sentence in relevance, observation, or recency so the reader knows the message is specific.

      • Relevance: explain why this message is for them.
      • Observation: reference a behavior, signal, or data point.
      • Recency: tie to a recent event, hire, launch, or news item.
      • Pick one. Earn attention in the first line.
    2. 02

      Assemble the body

      Choose one to four building blocks that fit your context. Mix them to explain the problem, show value, or demonstrate proof.

      • Problem statement: name the challenge with data or comparison.
      • Poke the bear: ask a question about the status quo.
      • Case study: cite results from a similar company.
      • Offer: describe the concrete value you can provide.
      • Problem-solution: connect their pain to your fix.
      • Dream outcome: quantify what success looks like.
      • Personal touch: include a video or voice note.
      • Social proof: name a recognizable client.
      • Resource: offer a tool, guide, or report.
      • Value: show how this saves time, saves money, or makes money.
      • Story: use a brief narrative to illustrate the point.
      • Keep total body under 50 words.

      Add one call to action

      End with a single, clear next step. Match the CTA to the reader's likely intent level.

      • Soft CTA: ask if the problem is a priority right now.
      • Resource CTA: offer to share a guide or report.
      • Hard CTA: request a 15-minute call.
      • Colleague ask: ask if someone else should see this.
      • Only one CTA per message. No branching.
    4. 04

      Add a P.S. if it strengthens the message

      Use a postscript to reinforce relevance, add light social proof, or restate value. Many readers scan the P.S. first.

      • Reference a recent signal: funding, hiring post, product launch.
      • Drop a client name or result.
      • Add a human touch or reminder of urgency.
      • Keep it under 12 words.
    5. 05

      Ship under 80 words

      Trim the full message to 70 to 80 words, including the P.S. Shorter messages earn more replies.

      • Count opener, body, CTA, and P.S. together.
      • Cut filler. Remove adverbs and fluff.
      • Test readability on mobile before sending.
