Revenue Workflow

Outbound Attribution

Most outbound conversions never reply. They see your email, visit your site, and sign up later. This workflow logs every outbound touch in your CRM, tags contacts and companies, and tracks signups back to campaigns so you can prove outbound's real revenue contribution.

    Build it, step by step

    Build it, step by step.

    1. 01

      Plug outreach tools into OutboundSync

Connect Instantly and HeyReach to OutboundSync so every email, DM, and connection request flows into HubSpot automatically. This removes the dependency on replies for contacts to exist in your CRM.

      • Link Instantly and HeyReach accounts to OutboundSync
      • Configure sync to create or update HubSpot contacts on first outbound touch
      • Log all activity: email sends, LinkedIn messages, connection requests
      • Ensure every outbound recipient lands in the CRM even if they never reply
    2. 02

Create two core tagging properties in HubSpot

Add two boolean properties to contacts and companies: Outbound Campaign (was this record touched by outbound?) and Sign Up (did this record convert?). These become the backbone of your attribution model.

      • Create custom property: Outbound Campaign (checkbox, contact and company)
      • Create custom property: Sign Up (checkbox, contact and company)
      • Use these as binary flags for clean filtering and reporting
      • Store campaign metadata: sequence name, channel, timestamp
    3. 03

Auto-tag contacts and companies on outbound touch

When outbound activity fires, flip Outbound Campaign to TRUE on the contact and mirror it to the company. Tag with campaign name, channel, and timestamp so you know exactly who was touched and when.

      • Set Outbound Campaign = TRUE when a contact receives an outbound message
      • Mirror the tag to the associated company record for account-level view
      • Store campaign metadata: sequence ID, channel (email or LinkedIn), send date
      • Build a full activity timeline for every prospect
    4. 04

Track signups and tie them to outbound campaigns

When a contact signs up or converts, flip Sign Up to TRUE and cross-reference Outbound Campaign. If both are true, tag the signup as outbound-influenced and surface it in Slack or as a new deal.

      • Trigger Sign Up = TRUE on form submission, product signup, or other conversion event
      • Filter for records where Outbound Campaign = TRUE and Sign Up = TRUE
      • Create a HubSpot list: Outbound Influenced Signups
      • Send Slack alert or auto-create deal when a tagged signup happens
    5. 05

Automate deal stages and attribution reports

Move deals through stages based on real CRM activity, not manual updates. Build dashboards that show Outbound to Signup to Revenue flows, broken out by channel and campaign.

      • Use workflow automation to advance deal stages: Outbound Influenced, Signed Up, Activated, Closed Won
      • Build HubSpot reports: Outbound Campaign = TRUE grouped by Sign Up, deal stage, revenue
      • Compare performance by channel: email vs LinkedIn vs multi-touch
      • Track conversion time: days from first touch to signup
    6. 06

      Capture silent and off-channel conversions

Most outbound influence is invisible. Prospects see your email, visit your site later, and sign up without replying. This workflow captures those silent conversions and attributes them correctly.

      • Track website visits after email open (via UTM or identified session)
      • Attribute signups that happen days or weeks after the last outbound touch
      • Measure LinkedIn profile views, content engagement, and brand familiarity
      • Surface off-channel conversations: DMs, community threads, referrals
      • Count multi-touch sequences where no single message got a reply but the account converted
    7. 07

Turn outbound into a revenue engine with full visibility

Shift from reply rate to full-funnel influence as your success metric. Show leadership exactly how outbound contributes to pipeline and revenue, and use this model to scale with confidence.

      • Replace reply rate as primary KPI with outbound-influenced pipeline and revenue
      • Align outbound and marketing around shared CRM data and attribution logic
      • Present outbound ROI reports to leadership with real revenue tie-out
      • Use attribution data to optimize sequences, channels, and targeting
