Overview: What is VanillaSoft?

It's sold in annual bundles that include the first five seats, and prices are quoted rather than published (checked October 2026).

Instead of working from a static list, each rep gets the next best record pushed to their screen, and the dialer calls it when the last conversation ends. Calls, SMS and email run from the same screen, with call recording and transcription. VanillaSoft says it's built for teams of five or more agents, mostly in insurance, outsourced sales, fundraising, mortgage and similar phone-first markets.

Fit: Ideal customer profile.

Teams of five or more reps whose day is mostly calls, such as insurance agencies, outsourced SDR shops and university fundraising programs, and who want routing and dialing in one place. It's a weaker fit for small teams that mostly email, or for anyone who needs a full CRM with quotes and service workflows.

Usage

How to use VanillaSoft.

Load leads from your sources, set the routing rules that rank them, and reps work the queue rather than picking from lists. The Salesforce integration syncs accounts, contacts, leads, opportunities and tasks both ways, but it needs Salesforce Enterprise Edition or higher and an admin user. Zapier covers other tools, and the API comes with the Enterprise bundle.

Questions

Frequently asked.

How much does VanillaSoft cost?

VanillaSoft doesn't publish prices. It sells annual bundles (Core, Advantage, Enterprise and Fundraising) that each include the first five seats, setup and support, and quotes the rest (checked October 2026).

Does VanillaSoft integrate with Salesforce?

Yes. It syncs accounts, contacts, leads, opportunities and tasks in both directions, with custom field mapping. You need Salesforce Enterprise Edition or higher, or custom Apex, and an admin user for the connection.

What dialing modes does VanillaSoft have?

Single line, preview, progressive and parallel dialing. Advantage and higher bundles add SmartCaller Trust and SmartCaller ID, which aim to keep calls from being labeled as spam.

What are VanillaSoft's limits?

It's built for phone-first teams, not as a full CRM. One independent review of public feedback notes lag on complex routing setups, some VoIP reliability complaints and less modern email tools, and VoIP and SMS costs grow with volume.

What are the alternatives to VanillaSoft?

PhoneBurner and Orum focus on fast outbound dialing, Kixie adds calling and SMS inside your CRM, Revenue.io is built into Salesforce, and Outreach is a broader sequencing platform for email-first teams.
