Whalesync

Whalesync is a data sync tool that keeps records matched both ways between apps like HubSpot, Airtable, Notion, Postgres and Webflow, for ops and marketing teams that work outside the CRM.

Updated October 2026

Overview: What is Whalesync?

Plans start at $16 a month billed yearly, or $20 monthly, for 2,000 records (checked October 2026).

You connect two apps, map tables and fields, and turn the sync on. A change on either side then shows up on the other, including linked records, images and rich text. Whalesync counts records rather than tasks, so updates are unlimited. In July 2026 it brought back two-way sync for HubSpot, Salesforce, Attio, Affinity and Pipedrive, now with approvals before any delete.

Fit: Ideal customer profile.

Ops and marketing teams that keep data in a CRM, a spreadsheet and a website CMS and need the same record right in each. It fits record-level sync, not multi-step workflows. Salesforce sync needs the Pro plan, and teams that want triggered actions such as Slack alerts should look at an automation tool.

  • Publishing CMS pages from Airtable
  • Database admin views in Airtable or Sheets

Usage

How to use Whalesync.

Pick two apps from the connector list, choose the tables and fields that match, and set a direction for each field. Existing records are matched on a primary key, so you don't get duplicates. Teams use it to work CRM deals in Notion or Google Sheets, or to publish Webflow pages from an Airtable base. Errors land on an Issues page while the rest of the data keeps syncing.

Questions

Frequently asked.

How much does Whalesync cost?

At 2,000 records in sync, Starter is $16 a month billed yearly, Plus $32 and Pro $160, or $20, $40 and $200 billed monthly (checked October 2026). Prices rise with the number of records.

What counts as a record in sync?

A record counts once when it first syncs, so 10 Airtable rows synced to Webflow are 10 records. Updates to those records are unlimited.

Does Whalesync sync with HubSpot and Salesforce?

Yes. HubSpot, Pipedrive, Attio and other CRMs are on Plus, and Salesforce and Affinity are on Pro. CRM sync returned in July 2026 with approvals before records are deleted.

How is Whalesync different from Zapier?

Zapier chains one-way triggers and actions. Whalesync keeps the same records matched in two apps, so an edit on either side flows to the other.

What are Whalesync's limits?

Starter stops at 2,000 records and has no CRM connectors. Salesforce needs Pro at $160 a month or more. It syncs records but doesn't run multi-step workflows, and Stripe syncs one way only.

What are the alternatives to Whalesync?

Zapier, Make and n8n build triggered workflows between apps. Census and Hightouch sync data from a warehouse into business tools, which suits teams with a data team and a warehouse.
